Front Desk Associate
Reporting directly to the school principal, the responsibilities include but are not limited to the following:
Duties and responsibilities
- Maintaining Records and Files: Organizing and updating various administrative records, including student files, staff records, attendance records, and other essential documents.
- Assisting with Scheduling: Helping to schedule appointments, meetings, and events for administrators, teachers, and other staff members. This may involve using scheduling software or calendars.
- Assisting with Budget Management: Assisting in tracking expenses, preparing purchase orders, and maintaining budget records under the direction of the administrative staff.
- Supporting Technology Needs: Assisting with essential technical support for office equipment such as computers, printers, copiers, and phones. This may include troubleshooting minor issues or contacting IT support for more complex problems.
- Coordinating Substitute Teachers: Assisting in the coordination of substitute teachers by maintaining a substitute teacher schedule, communicating with substitutes, and ensuring proper documentation is completed.
- Managing Inventory and Supplies: Monitoring office supplies inventory, placing orders as needed, and ensuring adequate stock levels for essential items like paper, pens, and other office supplies.
- Assisting with Data Entry and Reporting: Supporting administrative staff with data entry tasks, compiling information for reports, and generating basic reports as needed.
- Providing Administrative Support: Assisting with various administrative tasks such as typing correspondence, drafting documents, preparing meeting agendas, and photocopying materials.
- Ensuring Compliance with Policies and Regulations: Familiarizing oneself with school policies and regulations and ensuring adherence to them in all administrative tasks and interactions.
- Communicate with other administrators, faculty, students, and parents
- Record keeping
- Student registrations
- Answering & referring inquiries in person & on the phone
- Direct visitors by maintaining employee and department directories, giving instructions
- Maintains a safe and clean reception area by complying with procedures, rules, and regulations
- Maintains continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contributes to team effort by accomplishing related results as needed
- Able to contribute positively as part of a team, helping with various tasks as required
Core skills required
- Applicant must be of Islamic faith and have Islamic background
- Proven work experience as an Administrative Associate, Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite including Excel, Word & Powerpoint
- Hands-on experience with office equipment
- Professional & Islamic attitude and appearance
- Excellent written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
- High school degree; additional certification in Office Management is a plus
- Ability to work independently and as part of a team
- Experience with cash handling and processing of payments
- Experience of working with children
- Experience in a school or office setting is an asset
